Late Policy

If you think you are going to be late, please let Sarah Coward at Your Best Mind Hypnotherapy know asap by phone call or text. Clients are responsible for the time they reserve for their appointment. If you are late for your appointment the treatment will still end at the designated time with no change in fee.

Cancellation Policy

Clients are advised that in booking an appointment they are reserving my time exclusively for their treatment. I run a busy practice. I require at least 24 hours’ notice for cancellation of any appointment to avoid incurring any charges. For missed appointments and late/last minute cancellations, the full fee is payable. Please telephone/text 07968868322 if you need to rearrange or cancel your appointment or email to reschedule.  I retain the right to end my services with clients who persistently cancel at short notice or do not turn up to their appointments regularly. (Appropriate client notice would be given). Please understand that it is your responsibility to remember your appointment dates and times in order to avoid missed appointments and cancellation fees. You are always welcome to call and double-check any appointments if you’re unsure.

All appointments with Sarah Coward at Your Best Mind Hypnotherapy are held online via Zoom

Appointments last 1 hour.

Before we commence hypnotherapy, you will have a Data gathering session and Initial Consultation. This lasts approx. 1.5 hours and is £70. We will discuss any issues you wish to change and how you would like Solution Focused Hypnotherapy to help you. We will discuss what hypnosis is, and what it isn’t, and what your expectations are of it, and what you will be required to do during and in between sessions to ensure you get the most from the process. I will also give you an online presentation: ‘Understanding your brain and workings of your mind’. There is no obligation to continue after this session if you decide hypnotherapy is not for you.

All information, whether verbal or written in notes, is treated as strictly private and confidential. I have a responsibility both to you as my client and to the community at large. Some moral and legal limitations therefore apply to confidentiality. These limitations mainly concern risk of serious self-harm, harm to others, and child protection issues. If a situation arises in which the moral or legal limits of confidentiality are exceeded, I will discuss this with you and explain the reasons at the time.

Data Usage

Your data and information is securely stored. Please note that all information that you provide both within emails, forms and during sessions is kept confidentially as stated above. Any personal data captured during our sessions or at the time of our Initial Consultation will be held encrypted and online securely via my CRM system Capsule CRM. You can find out more about Capsule’s Data Protection and the EU GDPR Legislation policy here.

The information you provide me with is all required so that I can get a good idea of what your issue is so that I can assess whether Solution Focused hypnotherapy is right for you and to devise a treatment plan to help you achieve your therapy goals. With the GDPR data protection regulations, I am required to inform you of how I use your data, hence this statement here. I want to be completely transparent with you so that you know that your data is safe. Your email address (if you have chosen to be placed on a mailing list on the pre-assessment form) is shared with the mailing list/newsletter provider along with your name. With this company, they are bound, like me now, by the same strict GDPR regulations and as such they are unable to use or pass on your details. Your data is only used by me and is not passed on to any third parties, other than in the ways listed above. Sarah Coward at Your Best Mind Hypnotherapy is also registered with the ICO – Registration ref: ZB545438. For more information on how your data gets used and stored please read my GDPR/privacy policy here;

Solution Focused Hypnotherapy is a collaborative process. You might be taught self-help techniques to help with your issue. You are required to practice these techniques and listen to the audio provided in between sessions as outlined. The success of therapy is dependent on your level of engagement in the process. As such, you must be committed to making your desired changes as well as the hypnotherapy process as a whole.

Some medical conditions require consent from your doctor before hypnotherapy can commence. I have the right to refuse therapy if you have a contraindication which may affect it.

I have the right to refuse therapy if you behave in an inappropriate way or if you are intoxicated with alcohol or drugs.

Hypnotherapy sessions (excluding the initial consultation) are charged at £60/per hour unless otherwise agreed. Payment must be made in full at the time of booking and at least 24 hours ahead of your session.  Payment can be made with a credit or debit card via Stripe on your specific appointment booking link.
